Running a live session
The layout
Section titled “The layout”There’s no separate “live room” page. Open the session and you’re in it: the session guide and activities fill the main area, a sticky action bar sits across the top, and a side panel on the right holds the video stage and a set of tabs.
The side panel tabs for moderators are:
- Online. The live roster. Search, and sort by user type, name, or activity status. Raised hands always float to the top. Each person shows a status such as Connected, Connected (muted), Working, Viewing Results, or Idle, and icons for what they’re allowed to do. Phone callers appear in their own Phone Participants group.
- Group Chat. A private discussion for leaders and observers, invisible to participants. Add Observers and Manage Observers live here.
- Support. The help desk. Every participant who asks for help gets a thread here.
- Session Assistant. An AI assistant that can answer questions about the session and its results while you work.
Participants see none of this. Their only tab is Help, which is their side of the support chat.
Before people arrive
Section titled “Before people arrive”-
Open the session and click Start (the headphones icon) in the top bar. This creates the voice conference. Until you do, participants who join early see “Waiting for host…”.
-
Check your devices. Once connected, open More and choose Device Settings to pick your microphone, camera, and speaker.
-
Decide what participants can do. Everyone joins muted, with camera and screen share off. You grant those abilities per person from the roster (see below) or by enabling hand raise.
Voice and video
Section titled “Voice and video”When the conference is running, the toolbar shows Mic, Captions, Conf. Mic, Video, Share, More, and End.
- Mic and Video control your own audio and camera. Share shares your screen.
- Conf. Mic is the whole-room mute. While it’s on, participants can’t unmute themselves. Turn it off when you want open discussion.
- Captions starts live captions when the session has audio captions enabled. You set the language being spoken, and each participant reads captions in their own language.
- More holds Device Settings, Switch to Phone, Computer Audio, View Call-In Details, and the hand raise toggle.
- End asks whether to End Conference for All or just Leave Conference.
Participants connect by clicking Join in their own top bar. If anyone hasn’t connected ten seconds after you start the conference, they get a prompt to join. Someone whose microphone is blocked is offered Join as Listen Only, Join by Phone, or Retry Mic.
Phone audio. The Phone Audio window has two tabs. We’ll Call You dials the participant’s number. You Call Us shows the dial-in number and meeting ID. Anyone on a locked-down corporate network can use this instead of computer audio. See Audio and video troubleshooting.
Moving the group through the guide
Section titled “Moving the group through the guide”You navigate freely. Participants follow you when you tell them to.
- Join Now in the top bar brings every participant to wherever you are: the activity you’re on, its results screen if that’s what you’re viewing, or the agenda. A toast confirms how many people moved.
- The Previous and Next buttons at the top of each activity step through the guide. The agenda rail on the left marks where participants currently are.
- Follow Facilitator, under More, is on by default. It moves you along with participants whenever another leader uses Join Now. Turn it off when you want to work ahead, for example to check the next activity’s setup while a co-moderator runs the current one.
Results. Each activity has a results view that fills in live. Bring participants to it with Join Now when you want the group to react to what they see. Activities set to hide results show you a “Results hidden from participants” notice.
Timer. Start Countdown Timer asks for optional text, such as “Session starts in:”, and a length from one to twenty minutes. Participants see a draggable countdown. You can end it early.
Broadcast Message sends a pop-up message to everyone at once.
View as Participant hides the moderator-only controls so you can see what participants see.
Managing participants
Section titled “Managing participants”Open the menu on any row in the Online tab:
- Messages opens a one-to-one chat. Message Participant opens their support thread.
- Mute or Ask to Unmute.
- Audio/Media Permissions lets you grant Share Video, Share Screen, and Toggle Mute to that person. This is how you bring a participant onto camera or let them talk in a Large Groups session.
- Join Now moves just this person to where you are.
- Remove from Audio disconnects them from the call without removing them from the session.
- Change User Type switches someone between Observer, Participant, and Reviewer. Log User Out does what it says.
Hand raise. Enable it from More. A participant who raises their hand jumps to the top of the roster with Activate and Lower buttons. Activate opens the same permissions choices, so you can give them the mic and camera for as long as they need.
Supporting participants
Section titled “Supporting participants”The Support tab lists every participant who has asked for help. Each thread has three quick actions that paste a ready-made reply: Can’t Hear Moderator, Audio Quality Issues, and Share Phone Number.
If the session’s Participant Support Chat setting is AI-First, an AI assistant answers first. It knows the participant’s live state, such as whether they’re connected to audio, muted, or on the wrong activity, and the session’s schedule, so it handles most “I can’t hear” and “am I supposed to be talking” questions on its own. It hands the thread to you when it isn’t sure, when the participant asks for a person, or when the question isn’t about the session. Once you or another leader reply in a thread, the AI stays out of it.
Wrapping up
Section titled “Wrapping up”Click End and choose End Conference for All when you’re done talking. The session itself stays open so participants can finish an activity and so you can review results. When the engagement is over, deactivate the roster group from the group selector, or archive the session from the Sessions list, which closes participant access.
Good to know
Section titled “Good to know”- Everyone starts muted. That’s deliberate for Large Groups. Turn off Conf. Mic if you want people to unmute themselves.
- Camera and screen share are off for participants until you grant them.
- Follow Facilitator is remembered per browser, not per account.
